Privacy Policy for Video-Subtitle.com and Android Mobile Application (Video Subtitle Generator)

This Privacy Policy explains how Video-Subtitle.com (“we,” “our,” or “us”) collects, uses, discloses, and protects information when you visit video-subtitle.com or use our mobile / web applications (the “Service”). 1 - Information We Collect

• Account Data – Name and email address, required only to create and manage your account and to send essential Service updates.
• Uploaded Content – Video files you upload, used solely to extract speech, create transcripts, translate, generate subtitles, and/or produce dubbed audio. We do not use video content for any other purpose.
• Usage & Log Data – IP address, browser or mobile build, device model, operating-system version, timestamps, error logs, and basic analytics events. These logs let you review your history and help us diagnose bugs and keep the Service reliable.
• Cookies & Analytics – We use Google Analytics (and similar first-party cookies) to understand feature usage and improve user experience. You can disable cookies in your browser; the Service will still function, but some analytics features may be limited.

2 - How We Use Your Information

• Operate, maintain, and improve the Service (e.g., generate subtitles, enhance translation quality).
• Authenticate you and provide account dashboards, history, and settings.
• Send transactional messages (e.g., processing status, critical updates, security alerts). We do not send third-party marketing emails.
• Monitor performance, detect fraud, debug errors, and ensure legal compliance.

3 - Third-Party Services

To provide core functionality we rely on the following processors; each receives only the minimum data required and all transfers are protected with TLS 1.2+ encryption:

• AWS CloudFront – Secure global content delivery of static and processing artifacts.
• OpenAI API – LLM-powered translation, transcription, or dubbing. We strip direct personal identifiers from payloads. Data is deleted immediately after processing.
• In-house LLM models hosted within our own infrastructure for certain language pairs.

These providers act on our instructions and are contractually prohibited from using data for their own purposes.

4 - Permissions & User Consent

• The app requests access to your device’s gallery / camera only when you choose to upload a video. Permission is never requested or used in the background.
• You may revoke gallery / camera or notification permissions at any time through your device settings.

5 - Children’s Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal data from them. If we learn we have collected such information we will delete it promptly. We comply with COPPA and comparable child-data laws worldwide.

6 - Security

We apply industry-standard safeguards, including encryption in transit (HTTPS / TLS) and at rest, access controls, firewalls, and regular security reviews. No Internet transmission is 100 % secure, so we cannot guarantee absolute security, but we continuously improve our protections.

7 - Data Retention & Deletion

• Project-level delete: You can delete any video or project from your Workspace; files and associated transcripts are removed from production storage immediately.
• Account delete: You can delete your entire account (Settings → Delete Account). All personal data and remaining files are erased within minutes.
• Back-ups: Encrypted server back-ups are rotated weekly and never kept longer than 7 days; deleted records fall out of the back-up cycle automatically.

8 - User Controls

• Update or correct your account details in the profile page.
• Opt in / out of email or Android push notifications in “Notifications.”
• Disable analytics cookies via your browser or the in-app cookie banner.

9 - International Transfers

Where we transfer personal data outside of the European Economic Area (EEA), we rely on Standard Contractual Clauses (SCCs) or equivalent legal safeguards approved by the European Commission. Data may be processed by trusted external providers such as AWS CloudFront and OpenAI under these frameworks, ensuring an adequate level of data protection.

11 - Changes to This Policy

We may update this Privacy Policy to reflect changes in technology, law, or our practices. We will post the revised version with a new “Effective Date” and, where required, obtain your consent.
