Privacy Policy for Video-Subtitle.com, iOS App, and Android App (Video Subtitle Generator)

This Privacy Policy explains how Video-Subtitle.com ("we," "our," or "us") collects, uses, discloses, and protects information when you visit video-subtitle.com or use our iOS or Android applications (the "Service"). By accessing or using the Service you agree to the practices described below. If you have any questions, contact us at support@video-subtitle.com.

1 — Information We Collect
  • Account Data – First name, last name, email address, and country. Required only to create and manage your account and to send essential Service updates.
  • Uploaded Content – Video and audio files you upload. Used solely to extract speech, create transcripts, translate, generate subtitles, and/or produce dubbed audio. We do not use your media files for any other purpose, and they are never shared with third parties in their original form.
  • Transcription Text – The text transcript our systems generate from your media file. This text — not your video or audio file — may be sent to third-party AI translation services to produce an accurate, context-matched translation. See Section 3 for full details.
  • Usage & Log Data – IP address, browser or mobile build, device model, operating-system version, timestamps, error logs, and basic analytics events. These help us diagnose bugs and keep the Service reliable.
  • Cookies & Analytics – We use Google Analytics and first-party cookies to understand feature usage and improve the user experience. You can disable cookies in your browser or via the in-app cookie banner; the Service will still function.
2 — How We Use Your Information
  • Operate, maintain, and improve the Service (e.g., generate subtitles, enhance translation quality).
  • Authenticate you and provide account dashboards, history, and settings.
  • Send transactional messages (e.g., processing status, critical updates, security alerts). We do not send third-party marketing emails.
  • Process subscription payments via the appropriate payment provider for your platform (see Section 3).
  • Monitor performance, detect fraud, debug errors, and ensure legal compliance.
3 — Third-Party Services and AI Data Processing

To provide core functionality we rely on the processors listed below. Each receives only the minimum data required for its specific function, and all transfers are protected with TLS 1.2+ encryption.

Infrastructure

  • Amazon Web Services (AWS) — United States – All media files, transcripts, and account data are stored on AWS infrastructure (EC2, S3, CloudFront) located in the United States. AWS acts as our data processor and is contractually prohibited from using your data for its own purposes.

AI Translation Services

When you request a translation, our servers first generate a text transcript from your media file. Only that transcription text — never your original video or audio file — is sent to the following third-party AI services to produce your translation:

  • OpenAI, LLC (openai.com) – Transcription text is sent to the OpenAI API (GPT models) for translation and context-matched subtitle generation. Personal identifiers are stripped from all payloads before transmission. Data is not retained by OpenAI beyond the duration required to complete your request under their API data usage policies.   • Google LLC — Google Cloud Translation API (cloud.google.com/translate) – Transcription text may also be sent to Google Translate for certain language pairs. Google does not use API customer content to train its models under a customer agreement. See Google’s Privacy Policy.
  • In-house LLM models – Certain language pairs are handled entirely by models hosted within our own AWS infrastructure; no data leaves our servers for these requests.

What is and is not shared with third-party AI services:

Payment Processing

We never see, store, or process raw payment card details. Subscription payments are handled entirely by the platform-native payment provider for the version of the Service you are using:

  • iOS App – Payments are processed by Apple Inc. via Apple Pay and Apple In-App Purchase. We receive only a purchase receipt token to verify your subscription status. See Apple’s Privacy Policy.
  • Android App – Payments are processed by Google LLC via Google Pay and Google Play Billing. We receive only a purchase token to verify your subscription status. See Google’s Privacy Policy.
  • Website (video-subtitle.com) – Payments are processed by Stripe, Inc. Card numbers and billing details are never transmitted to or stored on our servers; we receive only a subscription status confirmation. See Stripe’s Privacy Policy.
4 — Permissions & User Consent
  • The mobile app requests access to your device’s photo library / camera only when you explicitly choose to upload a video. Permission is never requested or used in the background.
  • Before AI translation features are used, the app presents a clear disclosure screen identifying what data is sent, to whom, and for what purpose. Your explicit consent is required before any transcription text is transmitted to a third-party AI service.
  • You may revoke photo library, camera, or notification permissions at any time through your device settings.
  • You may withdraw your consent to AI data processing at any time by contacting us at support@video-subtitle.com. Withdrawing consent will prevent translation features from functioning.
5 — Children’s Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal data from them. If we learn we have collected such information we will delete it promptly. We comply with COPPA and comparable child-data laws worldwide.

6 — Security

We apply industry-standard safeguards including encryption in transit (HTTPS / TLS 1.2+) and at rest, access controls, firewalls, and regular security reviews. No Internet transmission is 100% secure, but we continuously improve our protections.

7 — Data Retention & Deletion
  • Project-level delete: You can delete any video or project from your Workspace; files and associated transcripts are removed from production storage immediately.
  • Account delete: You can delete your entire account via Settings → Delete Account. All personal data and remaining files are erased within minutes.
  • Third-party AI processors: Transcription text sent to OpenAI or Google Translate is not retained by those services beyond the duration required to process your request, in accordance with their respective API data usage policies.
  • Back-ups: Encrypted server back-ups are rotated weekly and kept no longer than 7 days; deleted records fall out of the back-up cycle automatically.
8 — User Controls
  • Update or correct your account details on the profile page.
  • Opt in or out of email or push notifications in “Notifications.”
  • Disable analytics cookies via your browser or the in-app cookie banner.
  • Request a copy of your personal data or ask us to delete it by emailing support@video-subtitle.com.
9 — International Transfers

Your media files and account data are stored on AWS infrastructure in the United States. Where we transfer personal data outside the European Economic Area (EEA), we rely on Standard Contractual Clauses (SCCs) or equivalent safeguards approved by the European Commission. Transcription text sent to OpenAI and Google for translation is covered by those providers’ SCCs and our data processing agreements with them.

10 — Links to Other Sites

Our website may contain links to external sites. We are not responsible for their content or privacy practices. Please review their policies separately.

11 — Changes to This Policy

We may update this Privacy Policy to reflect changes in technology, law, or our practices. We will post the revised version with a new “Last Updated” date and, where required by law, obtain your renewed consent.
